Program Title: Partnerships for Syunik Enhanced Community-Based Social Services
Starting date: September, 2023
Contract Length: August 31, 2024 (with possible extension)
Duty Station: Goris, Syunik, with occasional travel to PIN Yerevan office
- Be actively engaged in all project-related activities, including the Advisory Groups/Commissions of Guardianship and Trustee meetings/discussions over the community needs, available CSO and municipal social service resources, and opportunities to be updated or developed, outlined by the Situational Analysis, conducted within the scope of the project.
- Provides technical expertise in the project implementation related to the provision of the social services to the vulnerable population.
- In coordination with the line manager, works with the project partners for fulfillment of assignments stipulated in their respective ToRs.
- Supports the Project Manager in the adoption of FSTP guidelines to be aligned with each output of the project and drafting the technically sound Requests for Applications (in coordination with the line manager) and subgrants packages for the Management and donor’s review and approval (if needed)
- Provides required support in implementation of FSTP following processes:
- Organization of info sessions, and ensuring awareness of the grants are reached to target audiences
- Coordination of subgrants’ selection process in accordance with PIN and donor’s requirements, assisting in/lead grant review meetings, and taking minutes and action points of the meetings
- With project assistant conducting due diligence visits and preparing summary reports
- Revision of proposals, ensuring consistent, high-quality control of all supporting documents to be consistent with the objectives of the project
- Drafting grants contracts and other documentation as needed
- Following up on the implementation of the grants as to PIN and donor requirements
- Collecting, revision, and editing financial and narrative reports to ensure quality assurance and compliance with PIN and donor reporting requirements
- Ensuring effective coordination with the Finance and Procurement, MEAL, Communication, and other technical departments in sub-grant program design, selection, execution, and monitoring
- Ensuring the accuracy of the sub-grants close-out procedures in accordance with PIN and donor processes
- Ensuring comprehensive grant files are maintained up to date, archived, and available for use by uploading them to ELO (Document Management/Storage System).
Other:
- Takes notes and prepares official minutes.
- Provides translation as needed.
- Handles grant-related phone calls and correspondence.
- Undertakes special projects as assigned
Requirements
University degree in Humanitarian, Social studies, Public Administration and other related fields
At least 3 years of progressive project coordination experience, preferably in NGO sector
Project Management Experience: Demonstrated track record of successfully coordinating/managing and delivering projects within scope, budget, and timeline.
Communication Skills: Excellent verbal and written communication skills in English, Russian and Armenian, capable of conveying technical information to both technical and non-technical stakeholders. Ability to communicate project status, risks, and issues clearly and concisely.
Risk Management amp; problem-solving skills: Experience in identifying potential risks and supporting in developing effective mitigation strategies. Proactive in addressing potential roadblocks in the course of implementation of the project.
Stakeholder Support: Experience in supporting stakeholder relations at all levels, including executives, business units, and external partners.
Project Documentation: Proven skills in maintaining comprehensive project documentation, including project plans, status reports, change requests, project evaluations.
Quality Assurance: Commitment to ensuring the quality of deliverables. Ability to conduct thorough testing and validation to ensure data integrity and system functionality.
Adaptability: Flexibility in adapting to changing project requirements and priorities. Ability to handle multiple tasks simultaneously while maintaining a high level of performance.
Certifications (Optional): Any relevant project management certifications, such as PMP (Project Management Professional) is a plus.
